Making a Delegation to the Board
Individuals or groups may want to advocate or make presentations about a specific interest or cause. There are opportunities to appear before our Board of Trustees to make an official presentation or address and this is called a delegation. Usually there will be a maximum of three delegations per meeting.
If you are interested in making a delegation, you must register with Kelly Hitchman-Powers
, Coordinator of Trustee Services, by calling (705) 722-3555 ext. 265 or e-mailing [email protected]
You will be asked to provide the following:
-
Information about what you plan to present, including the title and subject matter
-
Name of the spokesperson and who the delegation is appearing on behalf of (note: no more than two spokespeople per delegation)
-
A written copy of your presentation
Your presentation will be limited to 15 minutes. After you have made your delegation, Board members may ask questions to help clarify the material you have presented. However, you are not permitted to ask questions of Board members. Depending on the nature of your presentation, the Chair may request that you address the Board in an in-camera or private session.
The matter that you have presented will be considered by the Board. However, it is important to note that they will not resolve or make decisions until they have had an opportunity to consider all parts of the issue you raise. This will normally occur at an ensuing Board meeting. If a decision related to your delegation is required by the Board, the spokesperson will receive written communication about the decision.
For more information about making a delegation or to register your intent to appear before the Board, please contact Kelly Hitchman-Powers, Coordinator of Trustee Services, by calling (705) 722-3555 ext. 265 or e-mailing [email protected]
